A well established national membership and industry association based in Sydney is looking for an experienced Senior Events and Awards Coordinator to join their Conference and Events team. The organisation supports professionals and organisations across its sector through education, advocacy, professional standards, member engagement and industry leadership. This is a great opportunity for an experienced events professional who enjoys managing detailed event programs, awards, conferences and stakeholder relationships within a collaborative and purpose led environment.
Position Terms: - Full Time Permanent Role
- Sydney, NSW
- 3 days in the office and 2 days working from home
- Salary: $80,000 to $90,000 plus super
- Some interstate travel required
- Some out of hours work may be required around event delivery
The Role:
The Senior Events and Awards Coordinator will be responsible for coordinating the delivery of a national awards program while also supporting the successful delivery of a major national conference and broader events portfolio.
This is a varied role covering awards administration, event registrations, speakers, judging, digital event platforms, sponsors, exhibitors, stakeholder communications and onsite event delivery. You will work closely with the Head of Events and the wider team to ensure events and awards programs are delivered professionally, accurately and to a high standard.
Key responsibilities will include: - Coordinate key operational components of the national conference.
- Manage the end to end conference registration process.
- Set up and manage event registration systems.
- Troubleshoot registration issues and prepare event reports.
- Coordinate speaker communications and administration.
- Ensure speakers receive accurate and timely event information.
- Support sponsor and exhibitor communications and requirements.
- Coordinate conference collateral, merchandise and digital content.
- Maintain accurate event information across digital platforms.
- Manage delegate enquiries and communications.
- Coordinate conference volunteers including planning, briefing and onsite support.
- Support onsite conference operations across venues, suppliers and internal teams.
- Manage the administration and delivery of the organisation's annual awards program.
- Coordinate the awards submission process from opening through to judging and finalist communications.
- Maintain accurate awards entries, documentation and records.
- Coordinate the Awards Committee and judging process.
- Manage judge communications, scheduling, materials and follow up.
- Work with the Marketing team on awards communications and promotional activity.
- Coordinate awards collateral, presentation materials and trophies.
- Support the planning and delivery of the annual Gala Awards Dinner.
- Coordinate ticketing, registrations, entertainment, decorations and event logistics.
- Provide a professional experience for awards entrants, finalists, winners and judges.
- Coordinate additional events and programs across the broader event portfolio.
- Create and manage registration systems for additional events.
- Work collaboratively with Marketing, Membership and other internal teams.
- Identify opportunities to improve event systems, processes and participant experiences.
The Candidate:
The successful candidate will have strong experience coordinating conferences, awards programs or other complex events and will be confident managing multiple workstreams simultaneously. You will be highly organised, detail focused and comfortable dealing with a broad range of stakeholders including speakers, sponsors, exhibitors, judges, members, suppliers and delegates.
Experience within an association, membership organisation, not for profit or purpose led organisation would be highly regarded.
The successful candidate will also have:
- Previous experience managing awards programs is essential for this role and some experience managing conferences would be preferred.
- Strong event registration and delegate management experience.
- Experience coordinating speakers, suppliers and event logistics.
- Strong onsite event delivery experience.
- Excellent organisational and project coordination skills.
- The ability to manage competing priorities and critical deadlines.
- Strong stakeholder management and relationship building skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Experience managing awards submissions or judging processes would be highly regarded.
- Experience using event registration platforms and CRM systems.
- Experience with website content management systems.
- Experience with AwardsForce or similar judging platforms would be highly regarded.
- Strong problem solving skills and the ability to remain calm under pressure.
- A collaborative and proactive approach.
- The ability to work independently while contributing effectively to a wider events team.
- Flexibility to undertake some interstate travel and out of hours work when required.
