Part-Time Seminar & Events Manager - Contract

The Company:
This wonderful Association has been serving their industry for over 20 years by providing exceptional services to their members and clients. This Association specialises in the execution of a world-renowned exhibition for their industry that attracts both domestic and international exhibitors, alongside other smaller events and programs. They are looking for a Seminar and Events Manager to join their team on a 1-year contract.
Position Terms: - Immediately Available 1-Year Contract
- Salary: $120,000 - $130,000 plus super pro rata
Hours Required:
- From June 2025 to January 2026 – an average of 15-20 hours per week
- From January 2026 to April 2026 – an average of 30 hours per week
- From April 2026 to May 2026 - full-time hours (plus some additional hours for event delivery)
The Role:
The Seminar and Events Manager role will be responsible for assisting with the creation of the seminar/conference program, the industry awards program, and other events. This role will also be responsible for supporting the coordination of a major exhibition.
Key Responsibilities include;
- Create seminar topic streams in conjunction with the CEO, the Events Team and the Seminar committee.
- Develop, update and maintain a speaker prospect list.
- Speaker appointment and management, including arranging travel and accommodation.
- Coordinate event logistics.
- Communicate with registrants to ensure attendees have access to clear and accurate seminar information.
- Develop sponsorship and partnership opportunities in conjunction with the Marketing Manager.
- Assist speakers with uploading presentations at the venue and being available in the speaker prep room to answer speaker queries.
- Create the awards platform for receiving and judging applications
- Source and coordinate the judging panels and allocate categories to judges.
- Work closely with the Event Manager to execute the gala dinner and award ceremony, including sourcing and managing suppliers such as entertainment, decorations.
- Monitor registrations.
- Create run sheets and event documentation.
- Develop and maintain strong relationships with internal and external stakeholders.
- Create a careers program with activities targeted to school students to engage with school students and encourage them to learn about the industry.
The Candidate:
The successful candidate will have experience working within an Association, and have experience creating and managing seminar and educational programs. Strong communication skills, with the ability to build and develop strong relationships with all levels of industry.
- Exceptional organisational skills.
- Excellent administration skills, including record keeping and budgeting.
- Strong stakeholder engagement skills.
- Experience in identifying and developing sponsorship and partnership opportunities.
- Strong attention to detail.
- Previous experience in the exhibition, seminar, professional development and/or conference sectors is essential.
- Ability to work hybridly (working in the office about 60% of the time).
- Ability to work the above required hours.
