The Role: The Project Manager will be responsible for the end-to-end planning and delivery of a diverse portfolio of premium events across Australia and APAC.
Working closely with senior members of the agency team, this role will manage conferences, gala dinners, roadshows, executive programs, incentives and brand activations from initial planning through to onsite delivery. This is a hands on agency role requiring strong project management, client relationship and event delivery experience. You will manage multiple projects simultaneously, coordinate venues and suppliers across different markets, oversee budgets and timelines and ensure every event is delivered to an exceptionally high standard.
Key responsibilities will include: - Manage the end-to-end planning and delivery of corporate events across Australia and APAC.
- Manage conferences, gala dinners, executive programs, roadshows, incentive events and brand activations.
- Support senior team members on larger-scale and more complex event programs.
- Develop and manage project plans, timelines, run sheets, resourcing plans and operational workflows.
- Manage event logistics including venues, accommodation, travel, catering, AV, production and event technology.
- Source, negotiate with and manage venues, suppliers and production partners across multiple markets.
- Prepare and manage event budgets, supplier quotes, costs and reconciliations.
- Act as the day-to-day contact for allocated client accounts.
- Lead client WIP meetings, prepare agendas and manage actions and follow-up.
- Build strong relationships with client stakeholders across multiple markets.
- Provide recommendations and solutions throughout the event planning process.
- Coordinate creative elements including branding, signage, staging, theming and production requirements.
- Work closely with designers and creative partners to ensure concepts are delivered accurately.
- Coordinate exhibitor and sponsor requirements and deliverables.
- Lead onsite event delivery including bump-in and bump-out, rehearsals, registration, speaker management and attendee flow.
- Troubleshoot onsite challenges quickly and professionally.
- Coordinate multi-country events and develop relationships with venues, hotels and suppliers across APAC.
- Maintain project management systems, trackers, documentation and event budgets.
- Manage purchase orders, invoicing and financial reconciliations.
- Prepare event specifications, compliance documentation, production schedules and operating plans.
- Contribute to post-event reporting, insights and recommendations.
- Work collaboratively with internal teams across different markets.
- Provide support and guidance to Event Coordinators where required.
The Candidate:
The successful candidate will have strong event project management experience, ideally gained within an events agency, conference agency, incentive house or corporate events environment. You will be confident managing events from concept through to delivery and comfortable working directly with senior clients, suppliers and internal teams. Experience delivering events across multiple locations or internationally would be highly regarded.
The successful candidate will also have:
- Proven experience managing corporate events end to end.
- Experience across conferences, gala dinners, incentives, roadshows or executive events.
- Strong client relationship and stakeholder management skills.
- Experience managing multiple events and deadlines simultaneously.
- Strong venue, supplier and production management experience.
- Experience managing event budgets and financial reconciliations.
- Excellent project planning and organisational skills.
- Strong understanding of event production and onsite delivery.
- Confidence leading client meetings and managing client communications.
- Strong attention to detail and the ability to maintain premium delivery standards.
- Experience working with creative teams, production partners and external suppliers.
- Strong problem-solving skills and the ability to remain calm under pressure.
- Excellent written and verbal communication skills.
- Experience with project management platforms would be highly regarded.
- Experience with registration and event technology platforms would be advantageous.
- Confidence using digital collaboration and productivity tools.
- A willingness to travel throughout Australia and APAC when required.
- A genuine passion for delivering exceptional events and experiences.
