The Company:

This brilliant national association with over 1,100 members are the peak industry body for their industry. Representing their members and industry, they aim to advocate and support their members to advance their industry. They are looking for an Event Producer to join their team to manage and deliver events across Victoria.

The Role:

The Event Producer will sit within the Membership Department and will play a  pivotal role in the delivery of professional and highly executed events for the Association. The role is responsible for the planning and execution of all operational and logistical aspects involved in the delivery of events, including technical forums, member networking forums, industry roundtables, high profile summits, industry awards nights and state conferences.

Key Responsibilities include;
  • Work closely with the membership team to effectively plan and deliver a variety of events as published on the annual events calendar.
  • Provide progress and budget update reports to stakeholders in the lead up to all events.
  • Work collaboratively with key stakeholders to coordinate the development of content and program design for events.
  • Coordinate the creation and delivery of promotional materials, event marketing campaigns, and communication content.
  • Administer exhibition event logistics.
  • Fulfil sponsor requirements, coordinating deliverables, and maintaining effective liaison with sponsors.
  • Coordinate supplier arrangements for all events including venue, audio visual, catering, event technology, event exhibition and other services.
  • Plan and coordinate the delivery of an efficient registration process for all events across the portfolio and manage registration enquiries as required.
  • Plan and prepare event briefing packs and run sheets for all events, and issue to internal and external stakeholders as required.
  • Coordinate the VIP stakeholder invitation process, and staff travel requirements for all events as required.
  • Collate and report event program feedback from speakers and attendees to ensure the continued delivery of high quality and relevant events to members and industry.
  • Lead the call for speakers and identification of panel members and technical experts from different stakeholder groups for all significant events and develop a speaker list applicable to different events.
  • Collate speaker presentations, biographies and images for onsite, hybrid and virtual events for publication on the Association's website.
  • Prepare and distribute all speaker briefing packs and develop and implement effective speaker briefing processes.
  • Prepare purchase orders and coordinate the approval and processing of supplier invoices for payment in a timely manner.
The Candidate:

The successful candidate will have previous experience working within an Association or Membership Body in an Event Producer, Event Manager, or Senior Event Coordinator role. Demonstrated experience engaging with and coordinating suppliers to support large scale events is essential for this role.
  • Demonstrated experience coordinating large scale events (in person, hybrid and online) and programs, including event planning, speaker management and coordinating event marketing and communication processes.
  • Demonstrated experience coordinating the event registration process including administering online registration portals for various events, maintaining event databases and reporting on events using IMIS or similar event management platforms.
  • Proficient in AV systems, webinar platforms, and technical tools required for planning and delivering seamless online events.
  • Excellent communication and interpersonal skills (both written and verbal) with the ability to engage key stakeholders.
  • Excellent time management and organisational skills with the ability to effectively prioritise and manage competing deadlines.
  • Strong problem-solving skills with a high attention to detail and the ability to capture, analyse and report critical data.
  • Thorough working knowledge of Microsoft Office and experience using a CRM system such as IMIS, events planning programs or similar.
  • Unrestricted Victorian Drivers’ Licence or equivalent is essential for this role.
  • Ability to travel across Victoria for event delivery when required.
  • Ability to work from the office 3-4 days a week, located in the inner-north suburbs.
