The Company:
This fantastic boutique events agency is known for delivering high-quality corporate conferences and events. Their small (but mighty) team works across a diverse portfolio of clients spanning health & wellness to office supplies. Providing a end-to-end service for their clients, they are looking for an Event Manager to join their team in their North Sydney office.
Position Terms:
- Part-Time Permanent Role (4 days per week)
- Working 3 days in the office, located in North Sydney
- Salary: $90,000 - $100,000 plus super pro rata for 4 days
- Occasional travel will be required for event delivery
The Role:
The Event Manager will manage all aspects of the Agencies standard 3-day conference format, from initial planning and supplier briefings through to on-site execution and post-event reporting, working across multiple concurrent events throughout the year.
Key Responsibilities include;
- Source, evaluate and negotiate with venues
- Manage venue contracts, floor plans, room configurations and F&B requirements
- Oversee delegate accommodation blocks, room allocations and VIP arrangements
- Coordinate transport, transfers and on-site logistics for attendees and speakers
- Identify, brief and manage all event suppliers including caterers, printers, signage, staffing, AV/production, etc.
- Prepare and issue RFPs, evaluate quotes and negotiate contracts
- Maintain supplier relationships and manage performance
- Coordinate run orders / sheets and briefing documents for all contracted suppliers
- Serve as the primary point of contact for sponsors and exhibitors throughout the event lifecycle
- Manage exhibitor logistics including bump-in/bump-out schedules, booth allocations and deliverables
- Attend technical rehearsals and manage on-site production schedules
- Assist with development and management of detailed event budgets from brief through to reconciliation
- Track expenditure, manage purchase orders and process invoices in a timely manner
- Liaise with speakers, presenters and facilitators from confirmation through to on-site arrival
- Manage program schedules, session timings and content collection (bios, presentations, headshots)
The Candidate:
The successful candidate will have previous experience working as a Senior Event Coordinator or Event Manager, ideally with a background in delivering end-to-end single and multi-day conferences.
- Strong vendor and contract negotiation skills
- Proven budget management experience with a high level of attention to detail
- Excellent stakeholder communication and relationship management skills
- Ability to manage multiple projects simultaneously under pressure
- Confident working both autonomously and as part of a collaborative team
- Experience managing exhibitor and sponsor relationships is highly desirable
- Ability to travel domestically for events when required.
- Ability to work from the office 3 days a week, located in North Sydney.
