The Company:

This brilliant Association's purpose is to achieve sustainable long-term well-being for all Australians. With a large membership based across the country, they create, manage and deliver a range of events from 10 pax roundtables to 1,000+ pax conferences. With offices around Australia, they are looking for a new Event Manager to join their team in the Melbourne office.

The Role:

The Event Manager role will be responsible for managing end-to-end event logistics, partnering with their senior event programmers, confirming speakers and sponsors, managing invitation processes and delivering events on the ground and online. 

Key Responsibilities include;
  • Support and administer face to face and digital event planning, marketing and delivery.
  • Working in the CRM and CMS to build, publish and market events as per programming and marketing deadlines.
  • Support sponsor relationships by managing deliverables according to contract arrangements and in coordination with Senior Event Producers.
  • Conduct speaker liaison as per Senior Event Producer requirements.
  • Administer venue, AV and supplier bookings and coordination pre, during and post events.
  • Prepare event materials and administration such as run sheets, delegate materials, slide packs. event budgets and reporting.
  • Responsible for onsite registration, event staff supervision and coordination for face to face events.
  • Provide daily customer service contact and response to various member and membership enquiries, ensuring accurate recording of membership administration in the CRM.
  • Participate in livestream tech rehearsals and provide user advice to participants.
  • Participate in virtual roundtables, providing support to speaker, host and attendees.
  • Ad hoc office management activities that contribute to the effective daily operation of the office such as ordering/receiving office provisions, WHS requirements and engagement with building management and external suppliers.
The Candidate:

The successful candidate will have previous experience working within an Association or Membership Body as an Event Coordinator. A demonstrated track record in organising and delivering corporate events for members in essential for this role.
  • Proven ability to build relationships and work collaboratively with senior executives and their teams across all sectors including government, business, academia and NFP.
  • Good written and verbal communication skills.
  • Demonstrate critical thinking, innovation and ability to change.
  • Proven ability to work with minimal supervision.
  • Excellent time management, prioritisation and administrative skills.
  • Experience in meeting budgets.
  • Competent in Excel, Word, Outlook, PowerPoint and CRM (Microsoft Dynamics) systems, and adobe suite (desirable).
  • Ability to work as part of a team valuing collegiate effort and to collaborate across teams.
  • Track record in exceptional customer service and focus.
  • Ability to travel interstate for event delivery when required.
  • Ability to work in the office a minimum of 2 days a week.
