The Company:
This fabulous not-for-profit, membership-based Association is the peak industry body for their industry in Australia. They represent and work with Australia's leaders in their industry to further the industry's development and progress across the country. They are looking for an Event Coordinator to join their Membership & Events team.
Position Terms:
- Full-Time 12-Month Maternity Leave Contract
- Working 3 days in the office
- Salary: $70,000 - $75,000 plus super
The Role:
The Event Coordinator reports to the Event Lead. The Event Coordinator will be responsible for events administration and assisting with the execution of all operational and logistical aspects involved in the delivery of events including technical forums, member networking forums, industry roundtables, high profile summits, and national and international conferences. The Event Coordinator will also work with third parties to deliver partnered programs and events for members.
Key Responsibilities include;
- Provide administration support for all events, to help ensure seamless delivery and alignment with Association objectives.
- Ensure upcoming events are appropriately and proactively communicated to all relevant internal stakeholders via coordination of a central internal event calendar for use.
- Manage all enquiries relating to events, including ad hoc events as they arise.
- Assist with the set up and ongoing coordination of an effective online registration processes for all events using EventsAIR.
- Manage travel and accommodation requirements for staff to attend events.
- Liaise with suppliers such as venues, catering, AV, event technology solutions, and other relevant bodies to ensure requests for proposals cover off all relevant event requirements and event delivery details are correct.
- Co-ordinate the VIP stakeholder invitation process ensuring the highest level of customer experience is provided.
- Assist the events team with on-site event delivery, ensuring events are delivered in a professional and safe capacity.
- Collect feedback for post event reporting from speakers, partners and attendees on events and programs to ensure we continue to deliver high quality and relevant events to members and industry.
- Assist with speaker management including, collating biographies and images, sharing speaker briefings and on-site speaker management at events.
- Supporting online events via webinar set up, promotion, delivery and assisting with pre-event speaker rehearsals.
- Liaise with the media, marketing, and communication team to ensure all event content is current and accurate on the website and content is provided in a timely manner for all event promotions.
- Process payments for all event partners, attendees, and suppliers.
- Circulate weekly event updates to key internal stakeholders.
- Ensure that CRM and event management systems are maintained with all relevant contact information.
The Candidate:
The ideal candidate will have experience working as an Event Coordinator or Event Administrator within an association. Experience coordinating technical forums, member networking forums, industry roundtables, high profile summits, and national and international conferences is highly desirable.
- Experience of using a CRM system such as Salesforce, EventsAir / events planning programs, or similar. Thorough working knowledge of Microsoft Office.
- Excellent communication and interpersonal skill (both written and verbal) with the ability to engage with a range of different stakeholders.
- Excellent time management and organisational skills with the ability to effectively prioritise and managing competing deadlines.
- Strong problem-solving skills with a high attention to detail and the ability to capture, analyse and report critical data.
- Ability to work autonomously and as part of a team.
- High level of initiative with a strong drive for results.
- Ability to travel interstate for events when required
- Ability to work outside of normal working hours for events when required
