The Company:
This brilliant national association has been representing, training and educating their members and industry peers for the past 80+ years. With a strong events calendar, they are looking for a Conference Coordinator to join their team on a contract basis until the end of August 2026 to coordinate and deliver a range of conferences for the Association.
Position Terms:
- Immediately Available Parental Leave Contract
- Salary: $75,000 - $80,000 plus super pro rata for the contract period
- EventsAIR experience essential.
- Ability to travel for event delivery is required.
The Role:
The Conference Coordinator will be responsible for coordinating and delivering a range of conferences, offering full in-house conference management service for allocated events.
Key Responsibilities include;
- Working closely with relevant local organising and scientific program committees, provide a full in-house conference management service for identified conferences annually including budgets, venue, program development, marketing, registration, speaker management, conference materials (including apps), accommodation, social programs, support and exhibition, and evaluation.
- Develop robust conference programs in conjunction with relevant committees, to meet members’ continuing professional development needs.
- Build and maintain online systems for registrations, abstract submissions and reviews, certification, and event reports.
- Monitor all key milestones relating to allocated events and provide regular status updates.
- Provide full onsite coordination and management of allocated events.
- Develop and maintain conference budgets, in close coordination with PCOs (if applicable) and the Conferences and Events Manager.
- Prepare conference planning documents, and provide other relevant reports including evaluation, financial outcomes and recommendations.
- Develop and execute tailored and innovative marketing strategies and prepare a broad range of marketing and communications materials.
- Work closely with partner organisations on jointly hosted conferences and develop memorandums of understanding as required.
- Review contracts, liaise with suppliers regarding contractual requirements and deliverables
The Candidate:
The successful candidate will have experience working within an Association or Membership Body with a background coordinating conferences and events. Experience using and managing events with EventsAIR is essential for this role.
- Excellent planning, organisational and time management skills.
- High level verbal and written communication skills.
- The ability to prioritise workloads and adapt to changing priorities.
- The ability to build productive relationships with relevant committees, suppliers and key business partners.
- High level of understanding and skills in using relevant computer applications including proficiency in Microsoft Office applications, spreadsheets, and EventsAIR.
- Demonstrate initiative and ability to undertake work autonomously.
- Willingness to travel interstate (and potentially internationally) is required.
