The Company:

A growing events agency based in Melbourne and looking for a great new team member to join their team as an Events, Sponsorship and Speaker Administration Manager. This agency has a great reputation in the space and they work on not for profit and association client events. This role will form part of their team of 20 staff.  

The Role:

The Events, Sponsorship and Speaker Administration Manager role will look after all these parts of the larger events for the organisation. The events component will see the person managing the exhibitor bookings for events, floor plans and all requirements on site. The Sponsorship component will see them working with the clients sponsors, developing contracts and then handling all their requirements on events. The Speaker component of the role will see the person managing all the speakers for all the events for the team, handling their logistics, organisation and bios and compiling what's required for the Events Managers. 

Key responsibilities will include:
  • Client liaison and communication at a high level
  • Manage and support all sponsors and exhibitors before, during and after the events 
  • Communicate clearly and regularly with sponsors and exhibitors 
  • Design exhibitor floorplans for events
  • Management of sponsor workshops and breakfasts at events and management of registration portal (working alongside the digital marketing team) 
  • Analysis of exhibitor feedback post event 
  • Keep in touch with new trends that could benefit 
  • Be the main contact for speakers both international and local
  • Development of content for call for abstract portals 
  • Travel and accommodation arrangement for speakers 
  • Management of speaker preparation room at events and speaker management 
The Candidate:

This role would be great for someone who has been in Events Coordinator or Events Administrator and would like to move away from that into a more administration role with exhibitors, sponsors and speakers. If you have had experience with exhibitors, sponsors or speakers we want to hear from you about this role. 
  • Experience working in events with exhibitors, sponsors and speakers will see you do well in this role
  • Flexibility to travel and work interstate for events 
  • Natural ability to build relationships
  • Able to work with technologies and learn new digital skills 
  • Strong written, verbal and customer service skills
  • Strong attention to detail
  • Excellent time management and organisational skills with the ability to meet deadlines
  • Hard working and ambitious
