The Company:


A global B2B conference and exhibition agency that is a powerhouse in the market, and is transforming business around the world, is looking for new team members to join their Sydney office. With offices in most major capital cities in the world, they are now looking for a new Operations Manager in their Sydney office. 
  
The Role:

The Operations Manager role reports into the CEO of the Australian Division and is responsible for all the operational, logistical and customer service related duties involved in event management for all conferences, exhibitions, trade shows and events. These events being a combination of in person, virtual and hybrid events. This role will be the second Operations Manager role within the team and we have previously placed the other Operations Manager that this role will be working with 🙂 

Key responsibilities will include;
  • The Operations Manager is responsible for being the CRM master within the team, will train and teach others to use the system - Salesforce
  • Speaker and Exhibitor Communications, working with the portfolio conference producers and assisting with confirmation letters and follow up and liaison of requirements
  • Exhibitor Manuals including their development, return of required information and then handling of whats required for each exhibitor onsite
  • Floorplan development including liaising with stand builders, designing, changing and managing all requirements 
  • Supplier liaison and coordination, ensuring all suppliers are briefed, contracts are organised and budgets are met 
  • Event Guide creation, this role will be the internal communicator with regards to ensuring all internal and also international agency stakeholders information is collated and then passed onto the Marketing team for development 
  • Speaker Flights and Accommodation. Liaising with the Conference Producers and Speakers to secure flights and accommodation as required
  • Event Documentation and Manuals, ensure all event documentation is created, updated and paperwork completed and briefed for the event days 
  • Venue liaison, handling all requirements of the venue and handling catering, final numbers and all onsite details 
  • Organising all external suppliers, handling quotations, ensuring all event requirements are met
  • Event Logistics, handling of all logistics required pre event, on event and then bump out as well as reporting at the end to the global team 
  • Post Event Operations and ensuring all reporting is organised, read by the CEO of the Australian Division and then reported globally
  • Handling of all delegate, exhibition and sponsor registrations and requirements 
The Candidate: 

Coming from an exhibition, B2B Conference Agency, or an agency that manages large Trade Shows and have experience running the end to end components of these events then we definitely want to hear from you! This role will be varied and challenging and will require travel right across Australia. 
  • Extensive experience as an Events or Operations Manager from exhibition, B2B Conference or a Trade Show Agency 
  • Have previously managed a team and overseen operations 
  • Exceptional client and supplier relationship management skills
  • Be highly motivated and results driven with exceptional organisational skills
  • Strong stakeholder management and engagement experience
  • Excellent communication, presentation and time management skills
  • Energetic, enthusiastic, innovative, inspiring and results driven
  • Be proactive and able to make decisions
  • Sound budget management experience 
  • Sound judgement and decision making
