The Company:
Our client is a global luxury brand with a high-performing culture, known for their engineering excellence and iconic product designs. This brand sets benchmarks in technical innovation and aesthetics and is looking for an Events Specialist to join their events team to provide excellent customer service to attendees and provide administration support for their events.
Position Terms:
  • Full-Time Permanent Role, minimum 3 days working in the office
  • Salary: $80,000 - $90,000 plus super
The Role:
The Events Specialist will report to the Senior Events Manager and will be responsible for the administration and event coordination of Customer Experience Events. The Brand runs multiple different programs each year, and this role will be responsible for coordinating those programs to achieve increased participation and satisfaction among customers.
Key Responsibilities include;
  • Deliver administrative duties to deliver unrivalled customer experiences and events
  • Ensure the overall smooth running of all Customer Experience Events, including pre- and post-event organisation
  • Ensure all events are running to timelines and schedules
  • Ensure all Customer Experience Events contribute positively to brand image
  • Maintain effective relationships with venues, suppliers, subcontractors, and all other stakeholders in the coordination and delivery of events
  • Handle all Customer Experience Event related booking processes, including invoicing, payment and confirmation
  • Support reporting procedures to accurately prepare reports for results, forecasts and budgets
  • Ensure all payments are made and processed prior to event participation
  • Work closely with the legal team to develop event terms and conditions along with participation forms for customers
  • Review supplier contracts
  • Gather quotes and develop budgets for specific Customer Experience Events
  • Provide unparalleled customer service across all communication channels
  • Maintain and build upon relationships with existing customers
  • Organise and manage large corporate bookings
  • Maintain and update the website
  • Coordinate, update and maintain all bookings utilising the online booking system
  • Proactive use of the event database to identify and pursue leads and contacts
  • Conversion of enquiries to bookings
  • Assist with the preparation, coordination and production of all marketing collateral, including social media posts and relevant content for the website
  • Assist with the development of strategies to enhance and grow awareness of all Customer Experience Events
  • Ensure appropriate branding is developed and displayed at events
  • Ensure all branding is in line with corporate identity guidelines
  • Occasionally travel to events to provide excellent customer service to attendees and support the delivery of events  
The Candidate:
The ideal candidate will have experience working as an Event Coordinator or Event Manager with direct customer communication experience. Experience working with or for luxury brands is highly desired. Exceptional customer service skills is essential for this role.
  • Exceptional in-person, email and phone customer service skills
  • Excellent budget management
  • Familiarity with marketing communication tools is highly desired
  • Strong Microsoft Office Suite skills, including Excel
  • Excellent administration skills
  • Excellent interpersonal and communication skills, both written and verbal
  • Strong phone etiquette with the ability to handle challenging customer enquiries
  • Ability to meet deadlines, multitask and maintain high workload under pressure
  • Ability to manage multiple priorities and time manage effectively
  • Creative problem solving capabilities and encourages innovation
  • Ability to work from the office a minimum of 3 days a week
