The Company:

A medical Association based in Melbourne are looking for an Events Officer to join their team on a 12 month contract to cover Parental Leave for one of their team. The Association is one of the largest medical organisations and supports their field through setting standards for the industry, lobbying government when required, training and supporting their membership base. 
  
The Role:

The Events Officer role reports into the Senior Events Manager within the team and will be responsible for working on one of the major events for the Association. This role will work within a team of 10 events staff and will be responsible for developing and delivering continuing education programs and events for the membership base. This role will mainly be working on a large 4 day annual conference that has 2,500 attendees but will also work on smaller CPD and educational events during this time. 

Key responsibilities will include;
  • Coordinating all aspects of the social program for the major conference including President Dinner, Welcome Reception, Trainees Luncheons, and Gala dinner 
  • Coordinate the daily and social catering in accordance with the budget
  • Design, develop and deliver online and in person innovative networking and social activities 
  • Manage event budgets and ongoing costs and provide reporting on event viability inclusive of risk management 
  • Work with tourism sectors to build a bespoke optional activity program to complement the marketing of a destination style meeting 
  • Coordinate the end to end registration process including timelines, build, registration desk, name badges, tickets and lanyards 
  • Develop the optional activities program 
  • Develop and lead promotional material and booth requirements
  • Work with the Events Administrator on the conference website build, content development and updates
  • Assist with managing social media channels for the event and content for this 
  • Research venues and handle bookings, working with suppliers to manage catering, AV, accommodation requirements
  • Liaise with speakers and handle their travel, itineries and abstract submissions 
The Candidate: 

Experience as a Senior Event Coordinator of Events Officer within an Association, NFP or Agency space will see you well in this role. Experience with EventsAIR registration software is seen as a positive.  
  • Conference and registration experience is essential for this role, preferably EventsAIR experience, but any software registration experience will be considered
  • Experience working on conferences, managed themed events, gala dinners and welcome receptions preferred 
  • Excellent communication, presentation and strategic time management skills 
  • Exceptional attention to detail
  • Energetic, enthusiastic, innovative, inspiring and results driven
  • Sound judgment and decision making
  • Flexible and adaptable to work outside of core hours
