The Company:

A leading boutique agency with a team of 10 staff that is a sensational incentive and travel business is needing 1 new Event Manager to join their team on a 6 Month contract. This role will work on some select client events, will involve a lot of pre planning work and assisting the existing team. This agency works on boutique luxury incentives and travel events. 

The Role:

The role of an Event Manager is to co-ordinate and manage a range of events and projects and to ensure they are delivered effectively. In addition, the Event Manager will be accountable for training, mentoring and supervising junior members of the team when required. You will be responsible for following established processes with the objective to review and identify areas for productivity and improvement.

Key Responsibilities include;
  • Plan and execute incentives, conferences, product launches and a range of other events
  • Delegate management and support of Event Co-ordinators and their tasks
  • Oversee and manage Event Co-ordinators who may be supporting on delegate management
  • Creating and managing event databases in EventsAir
  • Liaising with Travel Manager to co-ordinate group travel
  • Management of hotels or venues including BEOs, accommodation bookings, food and beverage etc.
  • Management of ground transfers and all transfer logistics for events
  • Onsite management of events where required
  • Liaising with in-house Production and Creative team
  • Account management of key clients
  • Maximize operational revenue across events
  • Review of existing processes to identify areas for productivity gains
  • Implement and train Operations team on new systems and processes
  • Act as the organisations ‘guardian’ of systems and processes
  • Create and implement templates
The Candidate:

The ideal candidate will have outstanding verbal and written communication skills with the ability to multi-task across multiple programs, clientele and supporting colleagues.
  • Advanced knowledge of EventsAir including building registration sites, communication documents, database management, payments and reconciliation would be preferred for this role 
  • Proficient knowledge in managing group travel including liaising with Travel Manager, ability to research and manage flight requests, co-ordination of change fees, transfer bookings and execution
  • High level of computer proficiency in Microsoft Office (Word, Excel, Outlook) and Google Docs / Drive
  • Budget management including review and cross checking of supplier invoices, submitting of payments and managing reconciliation process
  • Ability to work autonomously, remotely and unsupported on a daily basis
  • Current knowledge of industry trends and changes to propose new ideas for processes and delivery for our clients
