It provides insights, develops capabilities and connects people through education, arts, diplomacy and business. With 30 years experience working closely with communities in Australia and Globally. 

The Role:

The Event Coordinator is a key member of the Business Services team and ensures the curation and delivery of activities including high-quality face-to-face, hybrid and online events for the Business, supporting the work of the organisation. The position is responsible for the operational and administrative management and overseeing the curation and delivery of these events and programs. Combined with strong event and project management, time
management, written and verbal communication, and relationship building skills are pivotal to the successful delivery of these activities and enhancing the Business’ reputation. Reporting to the Associate Director, Advocacy & Business Services, the Events Coordinator must have productive and collaborative working relationships with all other branch Business and members and relevant associated parties including ability to build effective relationships with corporate partners and government officials.

Key Responsibilities include;
  • Curate, plan and coordinate a range of strategic events, including international conferences, public lectures, private roundtables, training programs and seminars in numerous delivery modes including face-to-face, hybrid and online environments.
  • Develop and coordinate event copy, identify/ email/letter solicitations for speakers, registration confirmations, event webpage and post event communication as appropriate.
  • Manage and work with speakers for all events to develop necessary items including bios, prep meetings, presentation procurement and other needs as requested.
  • Set up evaluation methodology to provide recommendations on event strategy & protocol.
  • Draft and coordinate publicity and promotion, including advertising and online marketing.
  • Coordinate the research and negotiation of appropriate online delivery tools for events, physical venues and other related suppliers to ensure that events operate within budget including:
  • Identify online events platforms, tools and engagement activities for online environments; and identify physical venue options, negotiate costs, source/hire facilities and services as required when delivered face-to-face or hybrid
  • Coordinate catering arrangements when delivered face-to-face or hybrid
  • Arranging security and on-site support
  • Ensure compliance with University, government and private sector protocols.
  • Represent the business externally at events
  • Build and maintain strong relationships with stakeholders, including sponsors, government, business, diplomatic & Board members
  • Provide advice and direction to Advocacy & Business Services team members, interns and other staff undertaking events
  • Maintain contact lists and database information
  • Coordinate post event evaluation and post-event summaries
The Candidate:

The ideal candidate will be someone with experience in educational events and have digital events experience. With a demonstrated ability to work with a range of technologies to support the delivery of online and face to face events including Zoom. With a high quality writing and editing proposals, correspondence and external facing documents.
  • Developed understanding of protocol requirements within private and government settings.
  • Demonstrated high levels of administrative and organisation skills, including the ability to manage competing priorities and schedule work to meet deadlines.
  • Negotiation, interpersonal and verbal communication skills, with the ability to liaise directly with leading stakeholders from business, government, the media and academia.
  • Ability to work flexibly and collaboratively as part of a high performing team.
  • Excellent computer skills, including the proficient operation of standard office IT systems and applications including MS Word, Excel, PowerPoint, Zoom, email; proficient use of internet and web for research purposes and CRM database application
  • Experience in uploading content and images to event registration systems such as Eventbrite and content management systems.
  • Experience drafting and sending digital campaigns using email marketing tools such as Campaign Monitor and MS Dynamix 365.
